Baybook is registration and insurance tracking software for the office or volunteer board of a lake association, residential airpark or garage condo community. It keeps every boat sticker, slip, hangar, insurance certificate and permit current, sends renewal reminders to members at 60, 30 and 7 days, and works beside the HOA software you already use.
Does it replace our HOA software?
No. It sits beside it. Keep your HOA software for dues and the owner directory. Baybook keeps the registrations, certificates, slips, hangars and permits, and exports to your HOA software and QuickBooks.
How long does setup take?
About ten minutes to import your roster from a CSV or an export from your HOA software. Then you set your rules once and open the season.
Is there a free trial?
Yes. Every community gets 90 days free from the day it signs up. A card goes on file at sign-up and isn’t charged until the 90 days are up. Founding communities get the first season free, then 30% off for three years.
Do members need accounts?
No. Each member gets one link for the season. They open it on a phone or a computer, upload what’s asked, pay, and they’re done. Every reminder brings them back to the same link.
Do we have to use stickers or decals?
No. Every registration gets a number for the year, whether you print it or not. Without stickers, members see their permit on their link, and whoever does the checking types in the number that’s already there: the registration number on a boat’s bow, an aircraft’s N-number or a car’s plate. The check shows only whether it’s current.
Does it check the insurance certificate?
It reads it. Baybook pulls the limits, the end date and who’s named as additional insured, and checks them against the rules you set. Anything short goes back to the member with a note saying what’s missing. It doesn’t contact carriers to confirm coverage.
Who owns the data, and can we export it?
Your association does. Export the registry, every document and the reminder log whenever you like, including on your way out.
What happens in the off-season?
The registry stays put. Reminders follow each document’s own dates, so a certificate that ends in January still gets chased. The waitlist keeps its order until you open the next season.
Can an inspector or insurer see it?
Yes, if you give them access. They get a read-only view of who’s current, with every certificate on file and every reminder logged. They can’t change anything.
